These online-based backup providers come in many forms but can be very easy to use and convenient for end users to implement no matter what the platform or how large the network. Whether you need to back up a single laptop, or an entire network of machines, there is an online data backup solution that will meet your needs.

Although there are several methods to accomplish online backup and data retrieval the simplest method is for the end user to install a backup package that has been pre-configured to connect to the service providers offsite servers (supplied by the offsite backup service provider). This software will allow you, the end user, to select a number of customizable settings, including what directories and files to backup, how often to back them up, number of file revisions to archive, etc. These packages take care of the complicated details such as server IP addresses, encryption levels, and secure logins for you so you can concern yourself with the important choices of what and when to backup.

Once you have set up an account with a service provider and have configured your software the rest of the process is typically transparent and requires little to no interaction from you. You can choose to be notified (via email or various other methods depending on provider) of successful backups for your records and to provide peace-of-mind, but beyond that, you can usually set and forget these solutions and rest assured knowing that the most critical data you generate is being saved in a safe and secure manner that is easily accessible to you whenever you may need it.

What to backup, and what to lose

The oldest computer expression is that there are two kinds of computer users, those that backup their data and those that will. Often, it takes a data disaster to compel otherwise responsible people to make a regular habit of backing up their data. Still, the majority of computer users do not back up their data.

According to Computer World, the annual cost to recover lost data per laptop is over $800.00 per year. This amounts to billions of dollars per year spent nationally to recover (or not recover) data that has been lost due to users not backing up their data. Critical data files are often stored on personal computers and laptops and often not subject to regular backup.

If backup is so important, then why dont most people do it?

The truth is, backing up data from your computer to CDs, memory sticks, other computers, and network hard drives is inconvenient. It takes time out of a busy day. Most backup utilities require the users attention to start, monitor, and close the process. Backup takes time from the user that can be better spent doing something else. Backup is boring, since it may disable or tie up your computer while the backup is taking place.

So what data should I back up?

The simple answer is any file that you would miss if you did not have it. This includes documents, presentations, spreadsheets, accounting data, and other data files. Also include your Favorites folder, telephone directory, appointment calendar, and tasks. It may also include pictures, music, family video, and any other data that is significant, especially if lost.

Look at all of the programs that you use regularly. Find the data files that these programs and mark these for regular backup. Often these files are not behind your MY Documents folder.

For example, if you use Quicken or QuickBooks, the important data files are saved in a folder behind the Quicken or QuickBooks program. In Microsoft Windows XP, these files could be under Documents and Settings/user/Application Data. In addition, the Application Data file may also contain important information that aids in your ability to use many of your favorite programs. If you do not know how to get to these files, consult an expert to help you determine what files to choose for regular backup.

How often should I back up?

Think of this question another way if my hard disk crashed, or I dropped my laptop, or it got stolen at the airport, how much time will it take me to re-create the active data that I just lost? What would it cost you to lose a days worth of data and to recreate it? How much time would it take to reconfigure your computer with the tools, configurations, short cuts, and links that you have spent years accumulating? Remember the Computer World data, the average cost per laptop for lost data is $800.00 per year. What is your billing rate? How much will it cost you to start over?

Some of us use our computers the entire day. That means that if we back up daily, then the most time that we would spend redoing the work would be less than a days worth of time. If you are an occasional user, then you may need to backup less frequently.

Once you have made your list, then you are ready to back up. Here is my partial list of backup files that would cause me great pain if they were not backed up:\r

  • Outlook.pst - Emails, Tasks, Contacts, and Calendar
  • My Documents - Word documents, Excel spreadsheets, PowerPoint presentations, Quickbooks
  • Favorites (these are my Internet bookmarks that I have spent years building up)
  • Documents and Settings/user/application data (be selective here. You will most likely not need temporary files generated from web pages).
  • Goldmine data files and email attachments
  • Whats the Solution?

    The solution is to find a backup solution that is invisible to the user and does not create a backup event that must be scheduled from a persons busy day. So hold this thought for the moment.

    Once you have determined which files to back up regularly, you must decide where to store this data. In the early days of computing, we used to back up to floppy disks. Now, our files are huge and often too large for floppy disks. CD ROMs are popular for backup and will now hold over 750 MB of data. DVDs can also be used for backup and how many times more data than CD ROMS.

    At the beginning of this article, I said that backup is inconvenient and that is why most people dont do it. Therefore lets find solutions that are convenient. Not just convenient, but invisible like an insurance policy that just works.

    If you are a lone computer user and are not on a network, the best solution is to get an external hard drive that plugs into your USB port. These data storage devices are relatively cheap for the benefit that they provide. Follow this link for examples of these products: http://www.google.com/froogle?q=USB+Hard+drive. If you are using Windows XP, then you can use the Windows Synchronize utility found in XP. To use, copy all of your data to the external drive. Then install the Windows Synchronize utility to automatically keep your files up to date when you plug the external drive into your computer. When you travel with your laptop computer, leave the USB hard drive at home. Never carry it in your computer bag. If you are backing up your desktop, take the USB hard drive with you or at least store it at a location separate from your desktop in case of fire or other disaster.

    If you are on a network, such as a home or business network, set aside some backup space on a hard drive on the network or on another computer. Hard drives are cheap. If you need more space than is available, buy another hard drive and install it on another computer. Use Windows Synchronize utility to keep the data synced.

    If you use a laptop or work in different locations, a new product called BeInSync automatically makes the connection over the Internet between your laptop and a designated target computer for syncing files. BeInSync updates, automatically and invisibly any and all files designated for syncing. It even allows you to sync files with friends and business associates. Since it works in the background, it does not require a backup event and impose itself on the users busy day.

    Whats the bottom line on backup?

    The bottom line on backup is that it is absolutely necessary for everyone that has something to lose if his or her computer was lost, stolen, or simply failed from regular use. There is a wide variety of solutions in the marketplace to keep your data backed up. Spend the time to explore and implement your back up solution. If you are not technical, hire an expert to create a solution that works for you. It will be some of the best money that you will spend.

    Backup Your Data Or Lose Your Life

    Oh the perils of collecting those precious photos on your PC for years, only to have your hard drive crash one day, and not have made a SINGLE BACKUP COPY of any of your priceless pictures. Well, now is the time to backup your hard drive. A few simple steps will set you on your wayso lets not think about it anymore: lets DO it.

    There are several ways you can backup your PC data.

    1.) CDs and DVDs are one of the simplest ways to go. Its a very simple process to pop in a CD-ROM and burn a copy of your important information, but theres a catch: youll have to be disciplined enough to do this on a regular basis. Youll also have to burn new CDs weekly in order to keep up with the new information youve just stored on your PC for the past week and this can get rather expensive as you go out to buy new CD-ROMS every month. So there are other solutions

    2.) Another way to go is to purchase an external hard drive. You can drag and drop all of your new data onto your hard drive and it will replace the old data. This way you dont have to burn new CDs or DVDs for each backup. However, you still have to be disciplined enough to remember to do this each weekso there is yet another solution.

    3.) If you have Windows XP Professional, you can use what is called Microsoft Backup, a utility that lets you create backups of data that you choose and be able to run these backups on schedule. The only disadvantage to using Microsoft Backup is that you must use your backups with the same operating system. For example, if your Windows ME hard drive crashed, you couldnt use a backup you created there in Windows XP.

    So, there you have several ways you can backup your PC data and be safe. Keep in mind that despite the disadvantages of CD-ROM and DVD backup (purchasing new CDs and performing backups regularly), you cant beat the fact that CDs and DVDs last for years and are transportable, which is great for traveling.

    If youre anything like me, you probably have a lot of information stored on your PC, much of which is personal in nature (such as family pics), and most of which is business-related (which is crucial to your business success).

    Being sure that you select at least one method of backup is your first step. Your second step is to make sure you follow through with this plan each and every week.

    Excel Password Types

    This article targets to those users who need to secure excel worksheets for various reasons. Beneficial for people in finance field as MS Excel is widely used tool by accountants, charted accountants, brokers, stenos and every other individual who need to store and display data in a hierarchical order.

    The Excel password types are:

    1. Password to open the Worksheet
    \r 2. Password for Modifications
    \r 3. VBA Modules
    \r 4. Worksheet Password
    \r 5. Workbook Password

    1.) Password to open the Worksheet:

    You can assign passwords to the excel worksheets and prevent any individual from accessing it. To assign password to your .xls file:

    Open the .xls document, which you want to password protect.
    \r Select the Save As option from the File menu.
    \r Click the Tools tab on the top of the Save As window and select the General Options option.
    \r The Save Options window will be displayed, where you can enter the desired password in the Password to open text box.

    If any unauthorized individual tries to open the worksheet, Microsoft Excel will ask to enter the password. If the password is incorrect the sheet will not open.

    2.) Password for Modifications:

    This option works similarly as the first one. As the password was assigned to open the excel worksheet, password to modify the excel worksheet can also be assigned in the similar way.

    Open the .xls document, which you want to password protect.
    \r Select the Save As option from the File menu.
    \r Click the Tools tab on the top of the Save As window and select the General Options option.
    \r The Save Options window will be displayed, where you can enter the desired password in the Password to modify text box.

    Only authorized individuals who know the password can modify the document otherwise he can only view the read-only copy of the password protected worksheet. This kind of protection helps to protect the document getting modified by other people, thus saving the original data which you had saved before leaving your desk.

    3.) VBA Modules:

    The excel worksheet can contain VBA modules with added macros in the file. This Visual Basic for Application module can also be password protected. To password protect, perform the following:

    Select the VBA module and right-click the mouse button.
    \r Select the VBA Project Properties option.
    \r Click the Protection tab.
    \r In this window, check the Lock project for viewing option and assign password in the Password to view project properties dialogue box.
    \r Click OK.

    The VBA module is now protected with password and secure from any unauthorized use.

    4.) Worksheet Password:

    There can be several worksheets in a single .xls file like Sheet 1, Sheet 2 and so on. You can password protect them too. To assign password to any current worksheet perform the following:

    Click the Tools menu
    \r Select the Protection > Protect Sheet option. The Protect Sheet window will be displayed.
    \r Select amongst the number of options for your worksheet. (These options depend on the working version of MS Excel; I am working in MS Excel 2003)
    \r After selecting the options you can assign password to the worksheet.

    5.) Workbook Password:

    Like Worksheets, excel workbooks can also be protected in the similar way of protecting worksheets.

    Click the Tools menu

    Replication is the process of sharing data between databases in different locations. Using replication, you create copies of the database and share the copy with different users. This allows them to make changes to their local copy of the database and later synchronize the changes to the source database.

    Database replication can also supplement your disaster-recovery plans by duplicating the data from a local database server to a remote database server. If the primary server fails, your applications can switch to the replicated copy of the data and continue operations.

    You can automatically backup a database by keeping a replica on a different computer. Replication allows you to continue making changes online.

    You can replicate a database on additional network servers and reassign users to balance the loads across those servers.

    Microsoft SQL server uses publishing industry model to represent the components and processes in replication architecture.

    Based on the publication model we can identify the following entities for the SQL Server replication model: Publisher, Distributor, Agent, Subscriber, Articles, Publications, and Subscriptions.

    Publisher

    Publisher is a server that makes the data available for subscription to other servers. In addition to making data available for replication, a publisher also identifies what data has changed at the subscriber during the synchronizing process. Depending on the type of replication, changed data is identified at different instances. We will learn more about Replication types in the Replication Types section.

    Distributor

    Distributor maintains the Distribution Database. The role of the distributor varies depending on the type of replication. Two types of Distributors are identified: Remote distributor and Local distributor. Remote distributor is separate from publisher and is configured as a distributor for replication. Local distributor is a server that is configured as a publisher and a distributor.

    Agents

    Agents are the processes that are responsible for copying and distributing data between Publisher and subscriber.

    Subscriber

    Subscriber is a server that receives and maintains the published data.

    Articles

    An article can be any database object, viz. Tables, Views, Indexed views, Stored Procedures, User defined functions.

    Publication

    Publication is a collection of articles.

    Subscriptions

    Subscription is a request for copy of data or database objects to be replicated.

    Subscription Types

    Changes to the subscriptions at the publisher can be replicated to subscribers via PUSH subscription or PULL subscription. With Push subscription the publisher is responsible for synchronizing all the changes to the subscriber without the subscriber asking for those changes.

    With Pull subscription the subscriber initiates the replication instead of the publisher.

    Replication Types

    Microsoft SQL Server supports the following types of replication: Snapshot Replication, Transactional Replication, and Merge Replication.

    Snapshot Replication

    Snapshot replication copies and distributes data and database objects exactly as they appear at the current moment in time.

    Transactional Replication

    In transactional replication, modifications to the publication at the publisher are propagated to the subscriber incrementally.

    Merge Replication

    Merge replication provides advantages of both Snapshot replication and Transactional replication. The initial snapshot applied to the subscribers and then SQL server tracks changes to the data at publisher and subscriber levels. The data is synchronized on a scheduled basis or on demand.

    Replicating to Third Party Hosts

    SQL Server can easily be configured to replicate data to a third party supplier over the internet. Thus allowing the third party supplier to house an up to date copy of your most important company databases. To this you will need to work closely with the third party supplier, but you have to ensure that your publications allow pull and anonymous subscriptions.

    Outlook express is an email client that comes bundled with Windows 95 and higher and facilitates home users to access their e mails by dialing to an internet service provider.
    Outlook express is the primary e- mail client for most e mail needs. Every morning, office goers around the world begin their day with outlook express. They reach their workstations, sign into their account and download their emails. Its business as usual. But some times everything doesnt go as planned. The outlook express fails.

    Symptoms of Corruption?

    The performance of your outlook express may be sluggish, messages may take long hour for download or files and folders may just vanish. The files may be deleted or corrupted. The first clue of a damaged file or folder is the corruption of .dbx files.

    The .dbx and .mbx files are used by outlook express for storing files. All files in Outlook Express Folder list are stored on our hard drive with the same file name but with the extension of .dbx (eg inbox.dbx). Together these are saved on a folder named as store folder which is located deep within Documents and Settings folder. It is a hidden folder .The corruption of this folder crashes the outlook express. The DBX files chop each message into 512 byte pieces.

    What happens when an item is Deleted from Outlook Express?

    When a message is deleted from the deleted items folder, the Outlook Express removes the first 4 bytes of each piece, so it is not possible for outlook to recover a message in its has been deleted from the recycle bin OR permanently deleted using shift + del key.

    The following are the symptoms of file corruption in OE

    1) Outlook Express feels sluggish when starting and while switching folders.
    2) Simple tasks like marking a message as read might take several seconds.
    3) Inbox may not display incoming mails.
    4) Certain folders might be working improperly.

    Vulnerability of Outlook Express with Anti Virus Software!

    Virus can spell doom for any of our softwares. But our primary concern while dealing with OE is the anti virus softwares. Because it is well known that outlook is often corrupted by the very softwares believed to protect it. To eliminate the probability of this type of corruption you should disable the e-mail scanning module in your anti-virus program. In most cases, the corruption is due to damaged .dbx files, more precisely, folders.dbx files. This is the folder that indexes the entire store folder. Without its aid Outlook Express cannot do anything. The only solution in case is to delete the corrupt file from the Store Folder.

    If your OE appears sluggish or if the mails still take long to download, then the possible alternative is to compact all your Outlook Express folders, this may be suitable for correcting minor errors.     All recovered / repaired messages are saved as .eml files at a location chosen by the user.

    If you use windows XP sp2 (Service Pack 2), disable the automatic background \r compaction.
    If the compaction is in progress, dont use the computer till it is completed.
    Maintain adequate back-ups of store folder.

    Never try to locate your store folder because one single corruption in that may \r wreck your outlook express. These basic precautions can be extremely useful if we use OE frequently or even if we have a large amount of correspondence on our OE inbox.

    Hard Drive Crash Prevention And Recovery Tips

    The hard drive in our computers right now stores all of our data, and our computer could not function without it. There would be no World Wide Web, email or even an operating system without hard drives. Since hard drives are so important, a hard drive crash is without a doubt the biggest problem that someone could face on their computer.

    Hard drive crashes can happen for many reasons, and usually the owner is not to blame. One reason your hard drive can crash is because of a hard ware problem. See your hard drive is a magnetic disc that spins and has an extended arm hovering over it, to access any area, and collect the data. If the motor overheats and stops spinning or the arm fails to function, then your hard drive will crash and not be accessible at all.

    Another way for your hard drive to crash is from corrupt system files, registry files and viruses. Viruses come in many forms as spy ware, ad ware, in emails and many other places all over the web. I recommend a good virus protection program from McAfee or Norton to stop those viruses and prevent your hard drive from crashing.

    Now lets say your hard drive has crashed, how do you determine the problem and can it be fixed? Well determining whether the hard drive crash is mechanical of software related is actually pretty easy. The flashing light on front of your computer case, that blinks when the computer is busy, is a good tool to determine the problem. If you see the LED light flashing, but the computer will not boot up, then most likely it is a software related problem, which means an operating system glitch or a virus of some sort. Lucky for you this usually can be fixed and all of your files can be saved, but I recommend only letting a professional try and fix it since the average person might find it to difficult unless they have experience in formatting hard drives.

    Worst case scenario is if you dont see the LED light flashing in the front of your computer case, this means your hard drive has not activity which basically means it is a mechanical problem. A mechanical problem in your hard drive can be fixed, but I imagine it is pretty expensive. It is cheaper to get a new hard drive then to fix it, but of course if you have important data stored on the broken hard drive that you must get back, then you really have no choice but to have a professional fix it. You local computer store should have the expertise to repair it, but if not just ask them who can.

    I should point out also though, that advanced hardware and software standards in todays hard drives tell you when your drive is about to crash and gives you time to back up your important files.

    Overall, the best way to stop your hard drive from crashing is to not neglect it and take care of it. The most important care tip is to make sure you defragment your hard drive at least once a month. Your operating system should come with a defragmenting program that is easy to use. Performing a defragment on your hard drive basically takes your data and organizes it into more convenient places so that the mechanical arm can access data faster and with the least amount of movement.

    Another way to protect your hard drive from crashes is to purchase a good virus scanner, preferably by McAfee or Norton, and keep protection tools enabled and perform a full system scan of every file on your hard drive once a month.

    Some other minor precautions that you can take are to enforce a SPAM guard on your emails and delete your temporary internet files every once in awhile. You should also keep your operating system up to date by downloading updates for it as soon as they come out. Windows makes this easy, but I am not sure how easy other operating systems make this or if they even provide this option.

    If you are a person who downloads a lot of files from the internet, then you need to exercise caution in what you choose to download, as hard drive crashes are commonly associated with faulty software from unknown sources on the net.

    Of course the best way to save you a headache if a hard drive crash happens is to back up your data regularly. Data loss is the reason a hard drive crash is so hurtful, so if you back up your data daily or whenever you work on it, then if a crash happens you will have no sweat on your back. I recommend you save your files to a rewritable CD/DVD or floppy disc as soon as you get done working on it, especially if the data is business related.
